DIFM Onboarding: Frequently Asked Questions (FAQs)

Have questions about your DIFM onboarding? Here are answers to the most common questions we receive.

General Questions

What does DIFM stand for? DIFM stands for "Do It For Me." In this program, we learn about your business and goals, then build everything for you in HubSpot. At the end, you have a turnkey system ready to use. Learn more.

How long does the onboarding take? The standard DIFM onboarding takes approximately 12 weeks:

  • Weeks 1-2: Project Start
  • Weeks 3-4: Enable Phase (Workshops)
  • Weeks 5-8: Align Phase (Implementation)
  • Weeks 9-11: Transform Phase (Training)
  • Week 12: Project End (Offboarding)

What's the difference between Pro and Enterprise plans? Enterprise plans include more workshops (6 vs 4), more training sessions (8 vs included in workshops), more implementation hours (55 vs 50), and more weekly check-ins (8 vs 6). Your Scope Document outlines exactly what's included in your specific plan.


Scope & Deliverables

What if I need more hours than what's included? If your project requires additional hours beyond what's included in your plan, your Strategist will discuss options with you. Additional hours can be added for an additional fee.

Can I add custom integrations or API migrations? Yes! Custom integrations and API migrations can be added to your scope for an additional fee. Talk to your Strategist for a quote.

Are custom-coded email templates included? No, standard DIFM onboarding includes email templates built with HubSpot's drag-and-drop editor. Custom-coded templates can be done for an additional fee.

What's NOT included in my onboarding? Unless otherwise stated in your Scope Document:

  • Custom integrations
  • Custom API migrations
  • Custom-coded email templates
  • Data cleanup
  • Ongoing managed services after project completion

Scheduling & Time Commitment

How much time should I set aside each week? Plan for 2-4 hours per week for meetings and 1-3 hours for homework/prep. Your active participation is key to a successful implementation. Learn more.

What if I need to reschedule a session? We understand schedules change. Please give us at least 24 hours notice if you need to reschedule. Frequent rescheduling may impact your project timeline.

Who from my team should be involved? At minimum, you need a decision maker (for approvals) and a day-to-day contact (for workshops and training). End users should attend relevant training sessions.


Data Migration

Is data migration included? Data migration via export/import may be included in your scope—check your Scope Document. Custom API migrations are not included unless otherwise stated.

Who is responsible for data cleanup? Data cleanup is your responsibility unless otherwise agreed in your Scope Document. This includes removing duplicates, correcting errors, and standardizing formatting. Learn more.

What if my old system subscription is expiring soon? Let us know immediately! We'll prioritize your data export and adjust the migration timeline. You may also need a delta migration to capture any new records before you lose access.

What is a delta migration? A delta migration captures new or updated records created between the initial import and your go-live date. It's needed if your team continues using your old system during implementation.


After Onboarding

What happens after onboarding is complete? After your handoff call, you'll be fully equipped to use HubSpot independently. If you need ongoing support, we offer managed services and retainer options.

Can I import data after the project is complete? Yes! Once you're trained on HubSpot, you can import data anytime using HubSpot's import tool.

What if I have questions after the project ends? You'll have access to our LMS videos and the HubSpot resources, including the Knowledge and HubSpot support team. If you need additional support, ask your Strategist about ongoing support options.


Preparation

How do I prepare for workshops? Come prepared to discuss your current processes, challenges, and goals. Your Strategist will send an agenda and any pre-work before each workshop.

What should I have ready before we start?

  • Access to your HubSpot portal
  • Information about your current processes and tools
  • Data exports if data migration is included
  • Any system deadlines or subscription expiration dates
